Agreement to Terms

By registering for and participating in the Media Leaders Retreat (the "Retreat"), hosted by The Born to Create Project ("we," "us," "our"), you agree to be bound by these Terms and Conditions (the "Terms"). If you do not agree to these Terms, you may not participate in the Retreat.

Retreat Description

The Media Leaders Retreat is a Christian media and storytelling retreat for church media leaders, creatives, and storytellers. It is held at a private retreat property in the Texas Hill Country near Wimberley, Texas.

The Retreat may include:

  • Teaching and mentorship in filmmaking, storytelling, and media ministry
  • Spiritual formation, prayer, and Scripture based sessions
  • Hands on production and guided editing sessions
  • Lodging in a private bedroom for each attendee
  • Meals and refreshments as described on the Retreat registration page

The specific dates, schedule, and inclusions for each Retreat are described on the applicable registration page and are incorporated into these Terms.

Registration and Payment

To secure a spot at the Retreat, you must complete the registration process and pay the required deposit or full tuition as listed on the registration page at the time of purchase.

  • A non refundable deposit (amount specified at checkout) is required to reserve your place.
  • Any remaining balance is due by the payment deadline stated on the registration page and in your confirmation email.
  • If you register after the payment deadline, the full tuition may be due at the time of registration.

Flexible payment plans may be available at our discretion. Contact us before registering if you wish to discuss a payment plan.

If you do not complete payment by the stated deadline, your spot may be forfeited and any amounts already paid may be non refundable.

Pricing and Tiers

Retreat pricing, including any early bird, standard, or late registration tiers, is listed on the Retreat registration page.

  • All prices are in United States dollars unless otherwise noted.
  • Discounts and promotional pricing apply only within the stated time frames and cannot be applied retroactively.

We may adjust pricing for future Retreats. Any changes do not affect registrations that have already been completed and paid.

Refund and Cancellation Policy

All deposits are non refundable.

Because group size is limited and we commit to fixed costs in advance, the following general refund policy applies unless a different policy is clearly stated on the registration page for a specific Retreat.

  • Cancellations made within a set period before the Retreat (for example, sixty days or more) may be eligible for a partial refund of tuition paid beyond the non refundable deposit.
  • Cancellations made after the cut off window (for example, fewer than sixty days before the start date) are typically non refundable.

If we maintain a waitlist and your spot is filled by another participant after you cancel, we may, at our discretion, offer a partial credit or refund beyond the non refundable deposit.

If you choose to leave the Retreat early or do not attend for any reason, no refunds or credits will be provided.

Any Retreat specific refund timelines and details listed on the registration page supersede this general section if they differ.

Travel and Health Requirements

You are responsible for:

  • Your own travel arrangements to and from the Retreat location near Wimberley, Texas
  • Any travel insurance you wish to purchase
  • Any personal health preparations, medications, or documentation you may need

We encourage you to consult with a medical professional if you have concerns about your ability to participate fully in Retreat activities.

You agree to disclose any medical conditions, disabilities, or health concerns that could reasonably affect your participation or require accommodation before attending the Retreat. We will make reasonable efforts to accommodate, but we cannot guarantee that all needs can be met.

Code of Conduct

The Media Leaders Retreat is grounded in Christian values. By registering, you agree to:

  • Treat all participants, instructors, hosts, and staff with respect and kindness
  • Refrain from harassment, bullying, or any behavior that disrupts the learning or spiritual environment
  • Abstain from illegal drug use and underage drinking at all times
  • Use alcohol, if present, in moderation and in a way that does not harm others or disrupt the Retreat
  • Respect the property, facilities, and local community
  • Follow all reasonable instructions from Retreat leaders related to safety, schedule, and property rules

We reserve the right to remove any participant from the Retreat, without refund, for serious or repeated violations of this Code of Conduct or for behavior we reasonably judge to be unsafe, disruptive, or harmful to others.

Lodging, Facilities, and Equipment

Lodging and facilities

  • Each participant will be assigned a private bedroom on the Retreat property or at an equivalent nearby property
  • Bathrooms and showers may be shared
  • Teaching, meals, editing, and community time will take place in shared spaces on or near the property

We make every effort to host the Retreat at the venue and in the configuration described on the website at the time you register. However, from time to time changes to the venue, specific building, or exact lodging layout may be necessary due to availability, maintenance, safety concerns, or other operational reasons.

If a venue change is required, we will

  • Move the Retreat to a comparable property in the same general area, with similar room standards and shared spaces
  • Update the Retreat website and registration page as promptly as reasonably possible
  • Notify registered participants by email with the new venue details

A change in venue to a reasonably comparable property in or near the Wimberley, Texas area does not constitute grounds for a full refund. In the event of a significant change that materially alters the nature of the lodging provided, we may, at our discretion, offer a partial refund, credit toward a future retreat, or the option to transfer your registration, in line with the Refund and Transfer Policy.

Equipment

  • Camera, lighting, and audio gear may be provided for instruction and shared production use
  • Unless explicitly stated in writing, all provided equipment remains the property of The Born to Create Project or its partners

You agree to use all facilities and equipment with reasonable care. You may be held financially responsible for repair or replacement costs if you intentionally or negligently damage property or equipment.

Photography, Video, and Media Release

By participating in the Retreat, you acknowledge and agree that:

  • We may photograph, film, or otherwise record sessions, activities, and behind the scenes moments.
  • You grant us a non exclusive, worldwide, royalty free license to use your name, likeness, voice, and participation in any such recordings for promotional, educational, or documentary purposes, in any media now known or later developed.

You waive any right to royalties or additional compensation for these uses. If you have a specific concern or sensitivity, it is your responsibility to inform us in writing before the Retreat so we can discuss possible accommodations.

Participant Work and Intellectual Property

You retain ownership of your original creative works produced during the Retreat, including scripts, footage you personally originate, and edited pieces, subject to any separate agreements you may enter into.

By attending, you grant The Born to Create Project a non exclusive license to:

  • Display, screen, or reference your Retreat work in internal teaching materials
  • Use excerpts, stills, or descriptions of your Retreat work in promotional and educational materials for future Retreats or programs, with reasonable credit when practical

All curriculum, written materials, teaching content, frameworks, and methods provided by us remain our intellectual property. You may use them personally and within your ministry, but you may not reproduce, sell, or distribute them commercially without our prior written permission.

Assumption of Risk and Limitation of Liability

You understand that participation in the Retreat may involve physical activity, travel, use of production equipment, and engagement in group activities. You voluntarily assume all risks associated with participation, including but not limited to injury, illness, property damage, or loss.

To the fullest extent permitted by law, The Born to Create Project, its owners, officers, employees, contractors, hosts, and partners are not liable for:

  • Personal injury or death
  • Illness, including communicable diseases
  • Loss, theft, or damage to personal property
  • Any indirect, incidental, special, or consequential damages arising from your participation in the Retreat

Where liability cannot be fully excluded, our total liability to you shall not exceed the total amount you paid for the Retreat.

Travel insurance and health insurance are strongly recommended.

Force Majeure

We may cancel, postpone, or modify the Retreat if circumstances arise that are beyond our reasonable control, including but not limited to natural disasters, extreme weather, acts of God, public health emergencies, government restrictions, labor disputes, or other events that make it unsafe or impractical to hold the Retreat as planned.

In such cases, we will make reasonable efforts to:

  • Reschedule the Retreat
  • Transfer your registration to a future date
  • Or offer alternative arrangements

We cannot guarantee a full refund in force majeure situations. Any credits, transfers, or partial refunds offered will be at our discretion and will take into account non recoverable costs already incurred.

Dispute Resolution

These Terms and any dispute arising out of or relating to the Retreat will be governed by the laws of the state selected by The Born to Create Project, without regard to conflict of law principles.

Any dispute that cannot be resolved informally shall be submitted to binding arbitration in accordance with the rules of a recognized arbitration service, such as the American Arbitration Association. The arbitration will take place in a city designated by The Born to Create Project, and the decision of the arbitrator will be final and binding.

You agree that you will not bring any class action or representative claim against us. Any claim must be brought on an individual basis.

Changes to Terms

We may update or modify these Terms from time to time. For registered participants in a specific Retreat, we will provide written notice (for example, by email) of any material changes that affect that Retreat.

If you continue with your registration after receiving notice of updated Terms, you will be deemed to have accepted the changes.
